Welcome to Elite Express. By booking a trip, itinerary, or service with us, you agree to be bound by the terms and conditions set forth below. Please read these terms carefully before making a deposit or payment.
1. Booking & Payments
1.1 Deposit: To secure a reservation, a non-refundable deposit of [e.g., 25%] of the total trip cost is required at the time of booking.
1.2 Final Payment: The remaining balance is due [e.g., 60 days] prior to the departure date. If the balance is not paid by the due date, we reserve the right to treat the booking as cancelled by you.
1.3 Late Bookings: Bookings made within [e.g., 60 days] of departure require full payment at the time of confirmation.
2. Cancellations & Refunds
2.1 Client Cancellation: All cancellations must be submitted in writing. Refunds are processed based on the date we receive your notice:
61+ days prior: Loss of deposit only.
31-60 days prior: 50% of total trip cost.
0-30 days prior: 100% non-refundable.
2.2 Third-Party Fees: Any non-refundable fees paid to third-party suppliers (hotels, airlines, private charters) on your behalf will be deducted from any refund due.
3. Changes to Itinerary
3.1 Client Changes: We are happy to accommodate changes to your itinerary where possible. A tailored administration fee in cost imposed by suppliers will apply.
3.2 Company Changes: We reserve the right to modify itineraries due to unforeseen circumstances (e.g., weather, safety, closures). In such cases, we will provide an alternative of equal or higher standard.
4. Travel Insurance
4.1 Requirement: Comprehensive travel insurance is mandatory for all guests. This must cover personal injury, medical expenses, repatriation, and cancellation/curtailment.
4.2 Verification: We may request proof of insurance prior to departure. Failure to provide this may result in the cancellation of your booking without refund.
5. Passports, Visas & Health
5.1 Responsibility: It is the client’s sole responsibility to ensure that all passports, visas, health certificates, and other travel documents are valid for the duration of the trip.
5.2 Denied Entry:Elite Express is not liable for any expenses or losses incurred as a result of a client being denied entry into a country due to incorrect documentation.
6. Liability & Force Majeure
6.1 Liability:Elite Express acts as an agent for third-party suppliers (hotels, transport providers, guides). We are not liable for the acts, errors, omissions, representations, warranties, breaches, or negligence of any such suppliers.
6.2 Force Majeure: We are not liable for any delay, cancellation, or failure to perform obligations due to events beyond our control, including but not limited to acts of God, war, strikes, pandemics, or civil unrest.
7. Privacy & Media
7.1 Data Protection: We respect your privacy. Personal data is collected solely for the purpose of processing your booking and is handled in accordance with our Privacy Policy.
7.2 Photography: By participating in our tours, you agree that we may use photographs or video taken during the trip for promotional purposes, unless you explicitly request otherwise in writing prior to travel.
