Refund and Cancellation Policy

At Elite Express, we are committed to providing world-class travel experiences. We understand that plans may change, and this policy outlines the terms regarding cancellations, refunds, and the nature of our service-based offerings.

1. General Policy on Returns

As a provider of luxury travel services, Elite Express does not offer “returns” on completed tours, utilized services, or consumed experiences. Once a service (such as a guided tour, hotel stay, or transfer) has been provided, it is considered non-refundable.

2. Refund Eligibility & Cancellation Schedule

Refunds are issued based on how far in advance we receive your written cancellation notice. Our standard refund schedule is as follows:

  • Cancellations 61+ Days Before Departure:
    • You will be refunded the full balance paid, minus the non-refundable deposit (typically 25% of the total trip cost) and any non-recoverable fees paid to third-party suppliers.
  • Cancellations 31–60 Days Before Departure:
    • You are eligible for a 50% refund of the total trip cost.
  • Cancellations 0–30 Days Before Departure:
    • No refunds will be issued. The trip is 100% non-refundable due to the high costs of last-minute cancellations with luxury properties and operators.

3. Non-Refundable Items

Certain components of your itinerary are subject to strict third-party terms and are always non-refundable once booked, regardless of the cancellation date. These typically include:

  • International and Domestic Flights.
  • Permits (e.g., Gorilla Trekking, Inca Trail).
  • Event Tickets (e.g., Opera, Theatre, Private Galas).
  • Travel Insurance Premiums.
  • Design & Planning Fees (if billed separately).

4. Processing of Refunds

  • Method: Approved refunds will be processed back to the original method of payment (Credit Card or Bank Transfer). We cannot refund to a different card or account for security reasons.
  • Timeline: Please allow [e.g., 7–14 business days] for the refund to appear on your statement, depending on your bank or credit card issuer.
  • Currency: Refunds are processed in [Currency, e.g., USD]. We are not responsible for differences in exchange rates or foreign transaction fees charged by your bank.

5. Unused Services During Travel

No refunds will be issued for any unused portion of the itinerary once the trip has commenced. This includes:

  • Missed transfers or flights due to client lateness.
  • Nights of accommodation not used.
  • Voluntary skipping of scheduled activities or tours.

6. Force Majeure & Cancellations by Elite Express

If Elite Express must cancel a trip due to force majeure (e.g., pandemics, natural disasters, political instability), we will offer:

  1. A strictly equivalent travel credit (Voucher) for future travel.
  2. A refund of recoverable costs only (we will work to recover funds from suppliers on your behalf, but cannot guarantee full reimbursement if suppliers withhold funds).
